Keep these in mind.
- Include loading, customer appointments and the return in your schedule.
- Estimate the complete route before discussing mileage.
- Keep your confirmed arrangements together and share them with the driver.

Map the work from pickup to return.
Your rental dates need to cover more than the time spent driving. Think through collecting the vehicle, getting to the loading location, preparing the load, making the deliveries, unloading and returning. Include the handoffs that depend on other people being ready.
Start with your intended pickup and return times, then work through the job in order. If a customer accepts deliveries only during certain hours, or a warehouse needs an appointment, put that in your schedule. A realistic outline makes it easier to discuss the right rental period and spot conflicts before the day arrives.
Estimate the complete distance.
List the main stops and estimate the mileage for the complete journey, including travel from the rental location and back. Add collections and other planned stops that are easy to overlook. For several days of work, consider each day separately instead of assuming the route will always be the same.
Take that estimate into your conversation about pricing. Ask what mileage is included, how additional mileage is handled and which other charges apply to your rental. Keep the quote and the assumptions behind it together so you can review the same plan when confirming the booking.
Put your questions in one place.
Make a short list of questions about the vehicle, rental period and options. Ask the office what customer and driver information is required, how payment and any deposit work, and which agreement steps must be completed before pickup. Confirm any protection options through the office and the applicable documents.
It also helps to ask what happens if your schedule changes. Find out how to contact the team, how extensions are handled and what return instructions apply. The confirmed agreement and office instructions should guide the rental; a general planning article cannot set those arrangements for your booking.
