A practical pickup and return checklist.

Keep the reservation details, vehicle review and return arrangements in one simple checklist.

A rental planning guide from Final Mile Rental.

Keep these in mind.

  • Confirm documents, location and agreement steps before pickup.
  • Review the vehicle condition, fuel and mileage at the handover.
  • Arrange changes with the office and keep the return record.

Before pickup: confirm the essentials.

Work through these items using the arrangements confirmed by the office. Share the details with the person collecting the vehicle.

  • Booking: Check the vehicle class, pickup and return dates and times, and rental contact details.
  • Location: Review the West Haven location details, including the rear location at 32 Hood Terrace Rear and your confirmed arrival instructions.
  • Documents: Ask which documents and driver information you need to bring, and have them ready.
  • Agreement and payment: Confirm which steps need to be completed before pickup.
  • Timing: Allow time for the vehicle handover before scheduling the first delivery.
  • Collector: Make sure the office knows who is collecting the vehicle and that person has the booking details.

At the handover: review together.

Review the vehicle with the team before leaving. Ask how its controls and any supplied loading equipment work, and raise questions about features you will need for the job. Confirm that the actual vehicle and included equipment match the agreed arrangements.

Make sure the starting condition, fuel level and mileage are recorded through the office’s handover process. Point out anything you notice and ask how it will be documented. Keep the rental contact information accessible, along with the agreed instructions for assistance, changes to the rental and return. Clear records make the next conversation easier if a question comes up.

During the rental: keep track of changes.

Keep the planned return time in your schedule. If work takes longer than expected, contact the office before relying on an extension. A change to your delivery plan does not itself change the agreed rental period. Ask the team to confirm any revised arrangements.

Keep track of the equipment that came with the vehicle, as well as your own tools and paperwork. Share the rental instructions with everyone using the vehicle. If you need to report an issue, explain what happened and follow the assistance or reporting process provided by the office and your agreement.

Before return: close the loop.

Before heading back, check the return arrangements and give the vehicle a final look.

  • Return details: Confirm the agreed location and time, and follow the office’s arrival instructions.
  • Fuel and condition: Review the requirements in your agreement and the instructions supplied by the office.
  • Your belongings: Remove goods, tools, paperwork and personal items from the cab and cargo area.
  • Equipment: Account for every item supplied with the vehicle.
  • Schedule changes: Contact the team if arrival changes; confirm any after-hours arrangements rather than assuming they are available.
  • Records: Follow the vehicle, mileage and fuel review process, then keep the return record and final paperwork.

This checklist organizes the handoffs. The requirements for your rental come from your confirmed arrangements and rental agreement.
